Privacy Policy

Last updated: 11 October 2026. This notice explains how personal information is handled when you visit reputationmanagementagency.uk, make an enquiry or ask us to consider a reputation-management matter.

1. Who is responsible for your information?

The data controller for enquiries made through this website is Pearl Lemon Limited, registered in England and Wales under company number 10411490, trading for this service as Reputation Management Agency. Its registered office is 152–160 City Road, London EC1V 2NX, England. The website also displays an operational correspondence address at 1st floor, 22 York Buildings, London WC2N 6JU. For privacy questions or requests, contact info@pearllemongroup.com.

2. Personal information we collect

When you submit a form or contact us, we may collect your name, business name, email address, telephone number, enquiry text, the page or service through which you contacted us, and review or website URLs you choose to share. Our enquiry handling also records submission dates and technical request data such as IP address, and may record operational status information needed to investigate failed submissions. If a service engagement follows, we may process additional case materials as described in an appropriate engagement agreement or case-specific privacy communication.

Please do not send passwords, sensitive medical records, employee files, identification documents, customer payment details or unredacted reviewer information through ordinary website forms. If evidence of that nature is genuinely necessary, contact us to agree an appropriate secure way to share it.

3. Why we process data and our lawful basis

We use enquiry information to respond to your questions, assess the feasibility of a requested service, prepare proposed scopes of work, arrange calls, maintain a record of related communications and prevent misuse of forms. Depending on the circumstances, the lawful basis may be steps requested before entering into a contract, performance of a contract, or our legitimate interests in responding to business enquiries and administering the website. Where consent is required for non-essential analytics or tracking, we rely on your affirmative cookie choice. We may also process information where necessary to meet legal obligations. We assess the appropriate basis for each use; this notice does not make otherwise impermissible processing lawful.

4. Recipients, service providers and transfers

Website enquiries are recorded in a Supabase-backed database, can generate administrative email notifications using an SMTP email service, and are passed to a Pearl Lemon Group lead-management endpoint. Services used on the site may include Lemcall for booking, Google Maps when you open location information, and, where you consent to optional technologies, Google Analytics, Microsoft Clarity, a Pearl Lemon web analytics tracker and Crisp chat. If you choose WhatsApp or another third-party platform, its own privacy terms also apply. Access is limited in accordance with staff roles and business requirements. Some service providers may process information outside the UK; where applicable, transfers must rely on an appropriate lawful transfer mechanism.

5. Cookies and optional technologies

Necessary storage may remember your cookie preferences and maintain basic site functionality. Non-essential analytics and live-chat technologies are set not to load until you choose Accept all. You can select Essential only, or reopen your choices using Cookie settings in the website footer. When you withdraw consent, the site prevents new optional requests after reloading; third-party cookies already placed in your browser may remain until they expire or you remove them. Read our Cookie Policy for more information.

6. How long we retain information

We retain information only as long as it is needed for the relevant enquiry, potential or active client relationship, security investigation, legal requirement or necessary recordkeeping. Different periods may apply to customer correspondence, lead records, case evidence, operational logs and backups. We review records for deletion or anonymisation when their purpose has ended. To request information about retention relevant to your enquiry, please contact us using the privacy address above. We do not claim a universal retention period for every category of information.

7. Security and confidentiality

We use access restrictions for our lead records and CMS and aim to minimise personal information used for policy-dispute assessments. A public contact form is not an encrypted evidence vault and should not be used to transmit sensitive case files. We cannot promise absolute confidentiality or that online transmissions are entirely risk-free. If you become a client, the scope, access controls and sharing of case materials can be documented for the engagement.

8. Your rights

Subject to applicable law and exemptions, you may have rights to access your personal data, correct inaccuracies, request erasure, restrict or object to processing, receive portable data in relevant circumstances, and withdraw consent where consent is used. To exercise a right, email info@pearllemongroup.com. We may need to verify your identity before responding. If you remain concerned about UK data protection, you can contact the Information Commissioner's Office.
