How to Respond to a Negative Review (With Examples)
Most buyers read the responses, not just the reviews. A calm, specific reply to a one-star review reassures far more readers than the review disturbs. A defensive reply does the opposite, permanently.
The formula
- Thank and acknowledge — one sentence, no sarcasm.
- Show you take it seriously — restate the issue in neutral terms.
- State what changed — the specific action, not "we value feedback".
- Move it offline — a named contact and a route to resolution.
Four sentences. Reply once. Do not litigate the facts in public, and never disclose whether someone is a customer where confidentiality applies.

Hospitality: "Thank you for telling us. A 40-minute wait at breakfast is not the service we intend, and we have added a second server to weekend shifts since. Please email me at — I would like to put this right on your next stay."
Professional services: "Thank you for the feedback. Communication delays are something we take seriously, and we have changed our matter-update process so clients hear from us weekly. Please contact me directly at so we can review your file."
Healthcare: "Thank you for taking the time to comment. We cannot discuss any individual's care in a public forum, but we take all concerns seriously and would encourage you to contact our practice manager at so it can be looked into properly." When not to respond
Do not respond to obvious fakes, defamatory allegations or an active legal dispute without advice. Report those instead — the grounds Google accepts are worth reading first.
